The Process

MD Properties have endeavoured to make the application process as simple as possible , however it can depend on your particular circumstances and factors that  occur during your application .

Here we outline the basics:

  • Call MD Properties on 01785 224408 or email via the website links or info@mdproperties.co.uk
  • One of our friendly team will register your details on our system , certain information will be required at this stage to ascertain your circumstances and to enable our system to link to the booking diary.
  • We will discuss the property you are interested in and possibly some alternatives and book you a viewing or viewings.
  • Once you have viewed the property, if you are interested you must call or email to register interest –

(please note due to some Landlord Instructions we may need to speak to the Landlord before we can proceed and in certain instances arrange a 2nd viewing in order for you to meet the owner, usually whereby MD Properties are not managing the tenancy . We do not operate a first come / first served basis for offering a tenancy but we do expect interest from evening viewings to be logged with us before midday the following day).

This gives all viewers a fair opportunity to be considered.

Once we are happy to proceed we move onto the next stages.

The costs and application

Tenant Fees

Rent as per contract

A refundable tenancy deposit capped at no more than 5 weeks’ rent where the total annual rent is less than £50,000, or 6 weeks’ rent where the total annual rent is £50,000 or above

A non refundable holding deposit (to reserve a property) capped at no more than 1 week’s rent.

Payments associated with early termination of the tenancy, when requested by the tenant – Cost as per landlord charges stated above

Variation, assignment or novation of a tenancy starts at £50.00

Rental payments overdue by more than 14 days will be subject to interest at the rate of 3% over the Bank of England Base Rate calculated from the date the payment was due up until the date payment is received.

All fees are inclusive of VAT where applicable

Paperwork

Our team will prepare all the documentation and information in relation to your tenancy and this will be emailed to you with instructions in more than one email . If you do not have email access or a printer please advise our Team.

Some of this paperwork will require action such as:

  • The Assured Shorthold Tenancy agreement – please read and follow specific instructions
  • The Check Out Form – please read and Follow specific Instructions
  • The Deposit Breakdown Form – This form determines who is or are the legal owners of the Deposit so percentages of  or third party involvement must be declared and all persons must sign acceptance to their percentage even if it is zero . The information on this form will be transferred to the Prescribed Information Document which you will be asked to sign during the Move In.

The Move In

MD Properties will Liaise with you in advance to book an appointment for your visit to our office to complete paperwork, payments and issue keys. MD Properties will not accompany you to the property. Depending on the Service some Landlords will wish to meet you to give you the keys after you have completed in our office.

RENT IN ADVANCE – As per the tenancy Agreement

Please note that keys will not be issued to you if the Fees , Deposit and Rent are not paid in full by or on the Tenancy Start Date as per the Tenancy Agreement.

We suggest that you do not park in a restricted parking zone in case this appointment takes longer than anticipated.

Inventory

MD Properties will issue you with an inventory of condition which includes many images.

There is a form for you to make comments and sign , then return to our office within 72 hours of collecting keys, along with any images you have taken yourselves to be considered on the check out of the property at the end of your Tenancy . All images must be dated .

Deposit Registration

MD Properties will register your deposit in a government approved scheme. Currently this is The Deposit Protection Service (DPS), you will have been given paperwork in relation to this prior to moving in.

You will receive from DPS directly a Repayment ID .MD Properties do not have this number.

It is your responsibility to keep this safe as you will need to input the number to access your Deposit at the end of the tenancy, it is also important that you make a note of the email addresses we are given at the start of your tenancy so that if you do lose your Repayment ID, the DPS can trace it with your initial email addresses and other particulars.

We will advise the issue to the  Contractor on a works order. If you do not receive contact from a contractor within 36 Hours please advise the office.

Inspections

MD Properties are contracted to carry out inspections on behalf of the Landlords at Intervals determined by the Level of Service the Landlord has chosen.

Tenants will be notified in advance by email and / or letter of the day and approximate time of the Inspection.

If the appointment is inconvenient you must contact the office in order to advise and rearrange.
